Bid Manager (m/f/d)
We are looking for a Bid Manager (m/f/d) to join our team in Pavia. Your main duties will be to manage purchase and RFP portals and coordinating the whole RFP and proposal life-cycle. Our ideal candidate has previous experience managing contracts and is familiar with legal requirements and terms of use. Ultimately, you should ensure all our contracts conform to legislative requirements and meet our company goals.
What you will do at Speexx
- Work with the Sales lead to develop a clear win strategy for each bid and ensure win themes are clear and compelling
- Coordinate the entire process: finding new RFP opportunities, understanding RFP requirements, navigating complex, multi-stage procurement processes, preparing relevant clarification questions and data, timeline managament, etc.
- Understanding complex technical questions and working with the RFP team to complete supplier questionnaires
- Contributing to the written proposal in terms of content and presentation, ensuring documentation is clear, concise, compelling and reusable as much as possible
- Ensure deadlines are met at each step of the process, including internal governance. Ensure on-time submission of compliant and commercially sound bids
- Preparing and/or reviewing, in coordination with the team leader and applying relevant policies, service-related and commercial aspects, cost proposals for new awards or modifications to existing projects
- Contribute to negotiations related to cost, financial and contractual terms with clients pre/post awar
- Serve as point of contact for prospects and Sales/Pre-sales teams on commercial and service-related questions
- Drive continuous improvement, through post-bid reviews and production of up-to-date standard bid technical documents
- Contributing to correct data, document and information tracking in CRM
- Coordinating with Sales Support team leaders and contract manager to maintain records of contracts and other legal agreements, with particular focus on monitoring continual compliance adherence
- Performing opportunity scouting, market trend and data analysis for a data-driven decision-making process
- Manage purchase and RFP portals and record qualification and maintenance
What we look for
- A university degree in business
- (2-3 years) experience in RFPs, bids and/or commercial proposal process
- Familiarity with numbers, data, analytic approach and MS Excel
- Experienced at creating commercial budgets and familiar with general commercial terms and conditions, industry terms, deliverables and processes
- Knowledge and experience with office procedures, systems, and protocols
- Outstanding oral and written communication skills in Italian and English with experience of writing and presenting proposals
- Ability to manage multiple tasks and priorities, working with tight deadlines and strong organizational skills
- Problem-solving attitude and commercial thinking
