Job Description

We are looking for an experienced FFamp;E and OSamp;E Procurement Manager to join tour newly formed Design team within the Real Estate Development business focusing on Boutique Hospitality Assets.

In this role, you will be responsible for all ordering, administration and supply procurement of the FFamp;E design and supply within the team. It will be your responsibility to ensure that the orders are made on time, within budget and in the most efficient manner, ensuring that the Finance Department is kept informed of all necessary compliance. Keep track of Main Contractor’s Construction programme and liaise with them in regards to direct sourcing items.

You will be working closely with Interior Designers and project managers to maintain FFamp;E budgets, project procurement, supply chain, logistics and project installations. Responsibilities:
    • Collaborate with Team Lead, Project Manager and Senior FFamp;E/Interior Designer to ascertain the timeline, budget and deadlines of the project
    • Assist the FFamp;E/Interior Designer with sourcing all the information necessary to complete the detailed specification document
    • Work with the design team to build the initial procurement schedule based on the review of layouts, renderings amp; specifications of the project
    • Responsible for the compilation of the procurement budget and coordinating all documentation ensuring all document standards are met
    • Organise the purchasing schedule, liaising with the Project manager to ensure all project milestones are reached
    • Working closely with the Finance team to raise all Funding Requests, produce purchase orders and pay proforma invoices in timely manner
    • Receive, approve and pass invoices for payment and log on procurement schedule
    • Liaise with suppliers across the globe to obtain quotes and discuss terms of service
    • To work within set budgets and timeframes, ensuring items meet the required specification and can be delivered on time
    • Liaise with internal teams and contractors to organise FFamp;E logistics and installation
    • Quality control
    • Keep track of and approved invoices from suppliers, liaising with the relevant internal departments for reconciliation of projects
    • Administrate and track all orders in the purchase process providing timely updates to FFamp;E Designer and Team Lead
    • Ensure all supplier contacts are up to date
    • Work closely with the FFamp;E Librarian to organise supplier meetings so the team is consistently up to date with the current trends
    • Carry out existing supplier reviews amp; new supplier visits in order to provide a list of approved suppliers to consideration on projects
    • Research the relevant markets to identify alternative suppliers for consideration by the interior designers and operators
    • Assist in the VE process by making recommendations for alternate fixtures and furniture where needed to achieve project budgets and timelines
    • Maintain accurate procurement amp; budget records amp; collate information for a weekly procurement review
    • Coordinate with the receiver/warehouse to verify product was received and inspected and found to be in perfect condition to install.

Requirements

    • Bachelor's degree in Business, Supply Chain Management, or a related field (Master's degree preferred).
    • A minimum of 8-10 years of experience in procurement and strategic sourcing, with at least 3-5 years of OSamp;E/FFamp;E, rooms and services category experience.
    • Proven experience in stakeholder management and developing strategies specifically designed for OSamp;E/FFamp;E, rooms and services categories.
    • Exceptional negotiation, communication, and interpersonal skills with ability to influence without authority.
    • In-depth knowledge of procurement best practices, supplier relationship management, and contract negotiation within these segments.
    • Robust understanding of supplier markets across Brazil, DR and Latin America.
    • Proficiency in procurement software and tools, with the ability to incorporate technology into source to contract process.
    • QS background is a plus
